Promotion Policy

SAHRMA is often approached by organizations, both for-profit and nonprofit, with requests to promote their events to SAHRMA membership. The following establishes the criteria by which the Executive Committee or full board should consider and approve such requests.  All requests must meet the following criteria before being taken into consideration:

1. SAHRMA must be contacted at least 30 days before the event. Promotion of the event does not constitute a conflict of interest for SAHRMA, its directors or volunteers.

2. The event will provide substantial value to SAHRMA members by an established, reputable organization. Promotion of the event will not conflict with or compete with existing or planned SAHRMA events and sponsorships.

3. To be considered for promotion to SAHRMA members, the following options have been established:

    • If a fee is charged, provide a SAHRMA member rate of at least 25% off the highest rate established for said event and one of the following: Provide prime booth space or table for SAHRMA staff throughout the event. Provide a minimum of 5-10 minutes speaking time for SAHRMA staff. 
    • If the event is free, or if the threshold of 25% cannot be met, then two of the following must be offered:
        • Provide prime booth space or table for SAHRMA staff throughout the event. 
        • Provide a minimum of 5-10 minutes speaking time for SAHRMA staff. 
        • Provide the contact information of all attendees to include name, title, company, address, and email addresses.

4. If none of the above can be established, then any other combination of "in kind" promotion that the Executive Committee or full board approves of with the intent of providing value to members AND promoting SAHRMA to the community at large can be established on a case-by-case basis.
